Planning an adult birthday party in Bedford or Halifax comes down to five decisions: the date, the headcount, the room, the food, and who pays for the drinks. Get those five sorted and the rest takes care of itself.
This is the guide we wish more people had before they started calling around. It is written from the venue side of the table, so it covers the questions we get asked every week and a few that people forget to ask until it is too late.
Step 1: Pick the date before you pick the venue
The single biggest mistake we see is falling in love with a room and then trying to bend everyone’s calendar around it.
Do it the other way. Lock a date with the guest of honour and the four or five people who absolutely have to be there. Then start calling venues.
A few things worth knowing about Halifax and Bedford dates:
- Friday and Saturday nights book earliest, especially from late November through the end of December.
- Sunday afternoons and Tuesday through Thursday evenings are dramatically easier to book, usually cost less, and the room is quieter for talking.
- If the birthday lands mid-week, do not force it to the weekend. A Wednesday party in a full room beats a Saturday party in a room you settled for.
Step 2: Get honest about the headcount
Venues need a number. Not a vibe, a number.
Here is the shortcut: count the people who would rearrange their week to be there. That is your real headcount. Then add roughly fifteen percent for plus-ones and late yeses, and subtract nothing for maybes.
Group sizes and what they usually need:
- 10 to 25 people. A reserved section works. No rental fee, no minimum spend, no contract. Just a table hold and a heads-up so we staff for it.
- 25 to 60 people. Semi-private. You get a defined area of the room, your own service, and the venue stays open around you. This is the sweet spot for most adult birthdays.
- 60 to 125 people. Now you are talking about a full private booking. The whole room is yours, the doors close to the public, and there is a minimum spend attached.
At The Village Taphouse we can seat roughly 85 guests in a semi-private setup, we hold about 90 inside, and our maximum total party size is 125.
Step 3: Choose the room type
Reserved section. Best for smaller groups who want the buzz of a busy bar without the cost of exclusivity. Nothing to sign.
Semi-private. Our most popular option for birthdays, and there is normally no rental charge. Your group gets its own zone. You can use the televisions and a microphone by arrangement if someone insists on making a speech.
Full private. The building is yours. Bring a DJ or a band if you want one (subject to approval), run an open bar, use the whole floor for dancing. Private evening bookings on quieter nights start around $2,500 plus tax and gratuity as a minimum spend, and weekend nights are meaningfully higher. That number is a minimum spend, not a rental fee, so it goes toward what your guests actually drink.
Quotes are normally held for 30 days, which gives you time to confirm the guest list before committing.
Step 4: Solve food the easy way
We do not run a kitchen, and for adult birthdays that turns out to be a feature rather than a problem.
You have three options and all of them are cheaper than a catering contract:
- Bring it in. Trays, platters, a cake, sandwiches from the place you already like. Bring it, set it up, and we handle the cleanup.
- Order it in. Our QR ordering system connects to more than twenty nearby restaurants. Guests can order what they want to their own table.
- Get it delivered. DoorDash and the rest deliver straight to the table.
No per-plate minimums. No menu tasting. No arguing with a chef about whether your cousin can have the gluten-free option.
Step 5: Decide how the bar works
This is the part that causes the most awkwardness on the night, so decide it in advance and tell your guests.
- Open bar with a cap. We run a tab and stop it at a number you set beforehand. After that, guests pay their own way. This is the most common choice and it prevents the “who is buying this round” shuffle.
- Drink tickets. Two or three per guest, then a cash bar. Easy to budget, easy to hand out.
- Cash bar with a hosted first round. Cheapest option and nobody minds it.
Whichever you pick, say it once in the invitation. Guests are fine with any of them as long as they know.
Step 6: Add something to do (optional, but it works)
A party where everyone stands around holding a drink is fine. A party with one shared moment in the middle of it is better.
Options that work well for adult birthdays here:
- A private trivia round written around the guest of honour
- Music bingo with a decade the birthday person will pretend to be too young for
- A booked DJ for the back half of the night
- A guided flight tasting for the group, beer, wine or whisky
None of it is mandatory. Some of the best birthdays we host are just a room, a good playlist, and people who like each other.

After hosting hundreds of these, the pattern is consistent. The venues that work are the ones that are genuinely 19+, that have enough drink variety that nobody feels left out, and that make the host’s job smaller instead of bigger.
