Most staff Christmas parties in Halifax are booked between late August and early October. By November, the good dates are gone and companies are choosing from what is left. If you are the person who got handed this job, the single most useful thing you can do is lock a date now.
Here is everything else you need, in the order you will need it.
When to book
The booking calendar in this region is predictable:
- August and September. Companies research venues and hold dates. This is when you get your first choice.
- October. Shortlists get finalized and contracts get signed. Still workable, but weekend dates are thinning.
- November. Late entrants compete for whatever is left. Usually mid-week, usually smaller.
- December. Execution. Nobody is booking, everybody is attending.
We have been booked solid from the last week of November through Tibb’s Eve for the past several years. That is not a sales line, it is the pattern every venue in Bedford and Halifax sees.
Practical advice: hold a date before you have final approval on the budget. Most venues, including us, will hold a quote for 30 days. Thirty days is usually enough to get sign-off, and a held date costs you nothing.
Pick the right night, not just the right venue
The last two Fridays before Christmas are the most contested nights of the year in this region. If your team is flexible, you have options that are cheaper, easier to book, and often better attended.
- Thursday. The most underrated staff party night. People come out, and nobody has to write off a Saturday.
- Sunday afternoon. Ideal for teams with parents on staff, and for companies that want the party to end at a sensible hour.
- Tuesday or Wednesday. The quietest and lowest minimum spend. Good for teams of 30 to 60 who want the room to themselves without a Friday budget.
- Early December. The first week of December is meaningfully easier to book than the third, and the party still feels seasonal.
How many people actually fit
This is the question that stalls most bookings, so here are our real numbers:
- Up to 25 people. A reserved section. No rental charge, no minimum spend, no contract.
- 25 to 85 people. Semi-private. Your team gets a defined zone of the room, its own service, and the venue stays open around you. Normally no rental charge. We can seat roughly 85 in a semi-private setup depending on layout.
- 85 to 125 people. Full private. The doors close to the public and the whole place is yours. This is where a minimum spend applies.
Our inside capacity is about 90, our patio holds about 14, and our maximum total party size is 125.
If your headcount is above 85 and you want exclusivity, a private Friday or Saturday booking is the right fit. Below that, semi-private usually gives you more party for less money.

- Semi-private: normally no rental charge. You pay for what your team drinks, plus whatever food you bring in.
- Full private: a minimum spend rather than a rental fee. It starts around $2,500 plus tax and gratuity on quieter nights and rises for Friday and Saturday.
The distinction matters and a lot of venues blur it. A minimum spend is a floor on the bar tab. Every dollar of it goes into drinks your team actually consumes. A rental fee buys you an empty room.
Quotes are normally locked for 30 days. Any shortfall against the minimum may become a venue-exclusive fee, so we will help you set a realistic number rather than an optimistic one.
Solve food without a catering contract
We do not run a kitchen. For staff parties, that consistently saves companies money and arguments.
Your options:
- Bring it in. Trays, platters, whatever your team actually likes. Set it up, and we handle the cleanup.
- Order it in. Our QR ordering system connects to more than twenty nearby restaurants, so staff order what they want to their own table.
- Have it catered or delivered. Use your own caterer, or DoorDash straight to the table. We can send you a list of local restaurants and caterers we work with regularly.
No per-plate minimum. No tasting menu. No paying for forty plates when thirty-one people show up.
Run the bar so nobody feels awkward
The bar arrangement is where staff parties either work or quietly go wrong. Three approaches that do work:
- Open bar with a hard cap. We run a running total and stop it at a number you set in advance. This is the most common corporate choice and the easiest to get approved.
- Drink tickets. Two or three per person, then a cash bar. Predictable, and easy to explain to finance.
- Hosted first round plus cash bar. The cheapest option, and staff genuinely do not mind it.
Whatever you choose, put it in the invite. People are fine with a cash bar. They are not fine with finding out at the bar.
Give the night a shape
The difference between a staff party people attend and one they enjoy is usually one shared activity in the middle.
Options that work for teams:

- Music bingo. Pick a decade. Works across every age on your team.
- A guided tasting. Beer, wine or whisky flights, poured and talked through for the group. Good icebreaker, especially for teams that do not socialize often.
- Live music or a DJ. Bring your own, subject to approval, or we can help arrange it.
- Awards or speeches. Televisions and a microphone are available by arrangement.
Why a taphouse beats a ballroom for a staff party
There is nothing wrong with a hotel function room. There is also nothing memorable about one.
A staff party has one real job: make people glad they came. That happens in a room with atmosphere, a bar with range, and staff who keep the night moving.
